Build Prep Limited (“we”, “us”, or “our”) operates the Build Prep websites and the Build Prep mobile application (together, the “Service”). This Privacy Policy explains how we collect, hold, use, and disclose personal information when you use the Service.

This is the policy we submit for the Build Prep app on Google Play (package app.buildprep). The same document is published at https://app.buildprep.co.nz/privacy and summarised on the marketing site at https://www.buildprep.co.nz/privacy.

By using the Service you agree to this policy. If you do not agree, please do not use the Service.

We comply with the New Zealand Privacy Act 2020 and its Information Privacy Principles. Where other laws apply (for example the GDPR if you are in the EEA or UK), we honour those rights as well.

Google Play Data safety summary

This matches what users see on the Google Play listing. The Service is not yet generally launched; this describes how the app is built to handle data.

Data shared: No data is shared with third parties for their own purposes. We do not sell personal information.
Data collected: Personal info — Name (and, for an account, email address used only to sign in).

Our approach to your data

We collect only what we need to provide the Service, and we keep project information under your control. You own the files, notes, and business information you upload. We do not keep that information longer than needed to deliver the Service, or longer than you instruct us to keep it.

We will never sell your data.

1. Roles — controller and processor

When you create an account or contact us as an individual, we are the agency (controller) of your account and contact information under the Privacy Act 2020.
When you or your organisation upload project or client data (files, images, notes, pricing, drawings), you are the agency for that information. We act as a processor and handle it only on your instructions, to provide the Service.

Business customers may ask for a Data Processing Addendum (DPA).

2. Information we hold

On Google Play we disclose Name as the personal information the app collects. In more detail, we may hold:

Account and contact information

Name
Email address and sign-in credentials (email/password or Google sign-in)
Company or profile details you choose to add

Project and client data (treated as confidential)

Drawings, documents, photos, notes, pricing, specifications, and other materials you upload are commercially sensitive. Construction bidding information is handled with extra care and is used only to provide the Service to you.

Technical information

Device type, operating system, and basic identifiers needed to run the app
Crash and performance logs
IP address, used for security and to operate the Service

We do not seek health information, precise real-time location, or biometrics unless you put that into a project file yourself.

3. How we use information

We use information only to:

Provide, maintain, and improve the Service
Create and manage your account
Respond to support requests
Keep the Service secure and prevent abuse
Meet legal obligations

We do not use project or client data for marketing or unrelated analytics.

4. Cookies and similar technologies

Marketing website (www.buildprep.co.nz) is hosted on Google Sites. Google sets cookies to deliver the site and to measure traffic. Google shows its own cookie notice. Information about your use of that site is shared with Google as described in Google’s notices. We do not run separate advertising cookies on the marketing site.

App and web app (app.buildprep.co.nz) use essential storage only: a session token after you sign in, and local settings (for example theme). These are required for the Service to work. We do not use advertising or cross-site tracking cookies in the app.

You can control cookies in your browser. Blocking all cookies may stop sign-in from working.

5. How we share information

We do not share user data with other companies for their own purposes, and we do not sell it.

Infrastructure providers who host the Service (for example our application host and content storage) may process data only on our instructions. That is not “sharing with third parties” as described on Google Play.

We may disclose information if the law requires it, or to protect rights, safety, or property.

6. Security

We use TLS for data in transit, access controls, and regular review of who can reach production systems. No online service is perfectly secure; we take practical steps to protect confidential project information.

7. Retention and deletion

We keep information only while we need it for the Service or as required by law. You can:

Email privacy@buildprep.co.nz from the address on the account

We action requests promptly, normally within 30 days. After deletion, residual copies may remain in encrypted backups for up to 30 days for disaster recovery, then they are overwritten.

8. Your rights (Privacy Act 2020)

You may ask us to:

Confirm whether we hold personal information about you, and access it (IPP 6)
Correct information that is wrong, incomplete, or misleading (IPP 7)
Delete information we no longer need
Receive a portable copy of account information you provided

Email privacy@buildprep.co.nz. We will verify your identity and respond within the time the law allows (usually 30 days in New Zealand).

If you are not satisfied, you may complain to the Office of the Privacy Commissioner: https://www.privacy.org.nz/.

People in the EEA, UK, Switzerland, or certain US states may have additional rights under GDPR, UK GDPR, or US state privacy laws. We do not sell personal information.

9. Children

Build Prep is a business tool for construction professionals. It is not directed at children. We do not knowingly hold personal information from anyone under 16.

10. International storage

The Service is operated from New Zealand. Hosting and email infrastructure may store or process information in other countries (including Australia, Singapore, and the United States). Where we transfer personal information overseas, we take steps consistent with the Privacy Act 2020 so it is still protected.

11. Changes

We may update this policy. The new version will be posted on this page with a new “Last updated” date. Continued use of the Service after a change means you accept the updated policy. For material changes we will also note the update in the app where practical.
